2. Concept Development
Filling in the details that make your vision a reality.
Here, we start with the “why” and end up with the “how”, helping you determine why the event is being held, what its objectives are, and what would make for the best experience. We think through the technical elements, but also consider branding, staging and talent. When we’re done, you’ll have a clear picture of the event you’re dreaming of.
3. Technical Design
Working out the requirements of the project to determine what equipment is needed.
This is where the audio, video and everything with a plug on it come into play. We determine not just what equipment you’ll need, but how it will be powered (many times, venues need generated power for events). We’ll work out all the details, integrate each element and ensure you’ve got everything you need.
4. Concept Renderings
Letting you see what your event will look like before it even happens.
You’ll see what your audience will see, showing you exactly how the staging will look and how we’ll incorporate things like sponsorship branding and logos, once the venue has been transformed into your show site. You’ll have a chance to see where everything goes (and even change your mind) before a single road case is opened, so there are no surprises on the day of your event.
5. Specify Components
Making a list and checking it twice, to be sure everything is on-site to get the job done right.
Every microphone, speaker, projector, light, monitor and mike stand is evaluated to determine which model will work best under your event’s specific needs. We make use of our extensive inventory, and augment that with additional equipment from other trusted vendors if necessary.
6. Partner For Additional Equipment & Services
Taking the hassle out of event production by interfacing with all other suppliers.
When we can’t outfit your production from our own warehouses, our partners help to provide everything from staging to security, so that you have the assurance and convenience of having one contact who knows everything about your event and every element involved. You’ll never have to make another call to any other supplier.
7. Advance Work
Smoothing out the bumps in the road by dealing with the venue, additional participants, the talent and their technical riders.
Our team performs walkthroughs of the venue, examines talent contracts, and tackles all the eventualities well in advance of show day, so there won’t be an issue with anything before, during or after your event. This is what we do, day in and day out, so we’ll manage the details and let you know what we’ve done, leaving nothing to chance.
8. Interface With Venue
Working with the venue and its staff to assure a professional event.
Depending on the venue and other variables, we’ll be using some of our own skilled professionals in addition to the venue’s staff to bring off your event without a hitch. Our job is to deal with the location and its people to create the ideal team, assuring that every element and individual come together for a seamless show.
9. Coordinate Schedules
Keeping all participants on the same page, from the day-to-day to the down-to-the-minute.
From the outset of your project, you’ll be kept apprised of every deadline and detail that needs your attention. You and your team, our professionals, the venue and its team, as well as the talent will all be included in the charts that show what has to happen where, and by when. Each detail attended to will be instantly updated, so everyone knows what’s going on.
10. Staff Key Positions
Providing experienced professionals to make your event run smoothly, including calling the show and directing.
Sometimes, you don’t want to leave important details in someone else’s hands—details like directing your event or calling the cues. For this reason, we bring in our own team of experienced experts to do the jobs that have the most critical impact on the success of your show.
11. Provide On-Site Production Manager
Giving you the one person who’s got the knowledge, experience and information so your event runs smooth as silk.
There’s a lot that goes into creating an event that greatly pleases your audience and gold plates your reputation as a producer. To make sure nothing falls through the cracks, a member of Gear Connection’s team is always on hand to keep things going according to schedule, as well as dealing with minor missteps before they become massive problems.
12. Coordinate Show Strike & Load-Out
Making sure everything gets back where it belongs, leaving the venue looking like we were never there.
Once the event is over and in the record books, there’s still a lot to do on the technical side. Staging has to be struck, lights have to be taken down, cables have to be wound up—in short, the gear has to get back to where it belongs. That takes people from several different teams working together to gather equipment from different sources and sort out what goes where. This way, there are no add-on fees for lost equipment, or damages to the venue.
